Instant Bill

Instant Bills allow the immediate generation of current transaction charges based on a selected date range. This is useful when a customer is requesting an invoice for records or to post and make a payment prior to standard invoicing dates.

  • With Instant Bill it is possible add and delete transactions to customize the bill to look exactly how it should. Custom charges can be added to an Instant Bill, but will not be added to the Transaction Register.
  • This can be useful for customers with one or more custom charges, customer setup fees, or for ad-hoc reminder notices.
To Generate an Instant Bill follow:
    Customer Tools > Instant Bill



Note "Billing Period" and "Generate" at the top, "Add Transactions", "Post Bill", and "Print" buttons.

Billing Period
Set date parameters for the Instant Bill to produce transactions within this selected range.

  • Using the Advanced search allows for exact day-of-month filtering, along with the options to Autopost the selected period (i.e., generating transactions for January 2022 will change the customer's Autopost Date to January 2022. This feature can have serious consequences, but is the default for all Instant Bills where 'Post Bill' is selected), and to mark or unmark transactions as billed.

Generate
Produces the Transaction information including Date, Description, and Amount for all charges within the Billing Period parameter alongside Customer Information details.

Print
Presents a print preview display of the bill. This is how the bill will appear to the customer.

Post Bill
This will finalize the bill for this month.

NOTE: The customer will not receive another regularly scheduled bill, nor will it generate the bill to BMS Statements for fulfillment.

The Instant Bill function will create a Bill on Customer’s Billing History and may be reviewed any time in the 'Billing History' menu ('Last Billed'), and emailed or printed from this menu.

Using the Instant Bill may have serious repercussions and has the ability to violate accounting principles. Use with caution, particularly if following GAAP. Using the Instant Bill pure as a 'Print' viewable version of a bill (similar to an invoice) may not have as serious of consequences.
